The Zambia Institute of Advanced Legal Education (ZIALE) is inviting applications from suitably qualified and motivated graduates for the position of Procurement Intern. About the Internship
The Procurement Intern will work closely with the Procurement Unit to support daily procurement operations, supplier coordination, records management, and procurement planning. Key Responsibilities
The successful candidate will be responsible for:
Procurement Administration
- Assist in preparing procurement solicitation documents, including Requests for Quotations (RFQs), Invitations to Bid (ITBs), and Requests for Proposals (RFPs).
- Support the implementation of procurement procedures in line with institutional policies.
- Assist with routine procurement administration and documentation.
Procurement Coordination
Responsibilities include:
- Monitor the procurement pipeline and identify process bottlenecks.
- Follow up with suppliers regarding pending deliveries and purchase orders.
- Liaise between the Procurement Unit and user departments to facilitate smooth procurement processes.
- Support coordination of procurement activities to ensure timely delivery of goods and services.
Records Management
The successful candidate will:
- Maintain accurate procurement records, files, and tracking registers.
- Organise procurement documentation for easy retrieval and audit purposes.
- Ensure procurement records are updated and properly maintained.
General Support
The role also involves:
- Assisting with procurement reporting and documentation.
- Supporting compliance with procurement policies and procedures.
- Performing other procurement-related duties assigned by the Assistant Procurement Officer.
Minimum Qualifications
Applicants should possess:
- Full Grade 12 School Certificate.
- Professional Diploma (CIPS Level 5) or Bachelor's Degree in Procurement, Supply Chain Management, or an equivalent qualification.
- Basic knowledge of the Zambia Electronic Government Procurement (e-GP) System.
